Your role

Tactical Tech is seeking a detail-oriented and reliable Accountant with a minimum of two years of relevant experience to join our team. In this role, you will be responsible for the accurate and timely management of all accounting functions, including bookkeeping, invoice processing, salary transfers, and financial documentation using QuickBooks Online and other tools. You will also ensure that all payment and procurement procedures comply with internal policies, legal regulations, and donor requirements.
This position requires a high level of accuracy, discretion, and organizational skills, as you will be working with sensitive financial and personal data. The Accountant works closely with and is supported by the Strategic Finance Advisor and Deputy Director.

Key responsibilities:

ACCOUNTING
  • Ensure proper books of accounts are kept and maintained in Tactical Tech’s accounting system (Quickbooks online) and other systems/tools.
  • Record accounting transactions, monitor and track payments due, and ensure accurate documentation and maintenance of all financial records for projects and the organization.
  • Issue invoices to partners for services provided, ensuring accuracy and alignment with agreement terms.
  • Process payments to staff and third-party suppliers, including monthly salary transfers, payroll deductions to government authorities, and supplier payments based on approved invoices and compliance requirements.
  • Reconcile bank accounts and monitor cash balances to ensure adequate liquidity.
FINANCIAL REPORTING AND BUDGETING
  • Prepare financial statements—including balance sheets, income and expense statements, and cash flow statements—for external audits, ensuring compliance with audit standards and providing all required supporting documentation to auditors.
  • Maintain up-to-date financial records for project budgets, including the allocation of shared and direct costs.
  • Compile financial data to support the preparation of quarterly and annual organisational reports.
  • Monitor expenditures against approved budgets and flag any variances.
  • Prepare and share regular budget updates with project leads to support their planning and spending decisions.

Required skills and experience

  • This post will be based in Berlin, Germany and you must be legally entitled to work in Germany.
  • Over 2 years’ experience in finances or accounting in a comparable organisation - a medium sized international NGO - accompanied by completed relevant university-level studies.
  • Excellent bookkeeping and accounting skills, meticulous with strong attention to detail and accuracy. Ability to allocate costs independently, identify issues early and provide good suggestions for alternatives.
  • An understanding of legal and compliance issues related to NGOs. Experience with or understanding of Stichting regulations and of public administration in Germany is considered a plus.
  • Experience contributing towards financial reports for different types of grants such as from governments, international bodies, and foundations.
  • Ability to contribute within a team and to work independently alike.
  • Experience in contributing to preparation of audits will be considered a plus.
  • Excellent communication skills and openness when communicating within a highly diverse and international team. Fluent written and spoken English (working language). German skills will be considered favourably.
  • Able to work with limited supervision. Keen and pro-active.

What we offer

  • Starting with a 6-month contract on the 1st May. We plan to extend this position, depending on available funds, organisational needs and performance. Salary is within established parameters of 36,000 Euro FTE (equivalent to €27,000 for 75% / 30 hrs, or €18,000 for 50% / 20 hrs).
  • Annual leave entitlement of 25 days plus an additional end of the year break (based on a 5 day week work week.)
