Your Role
We are seeking a Finance & HR Admin Manager to join our Berlin-based team.
You will be someone who enjoys being at the centre of a small organisation, working across functions and teams, putting in place and maintaining essential infrastructure that the entire team relies on, and keeping everything running smoothly. This role will be responsible for our financial compliance and management.
This is a role that combines management-level thinking with hands-on responsibilities. With at least five years of direct experience in financial management, you will ensure financial compliance and improve the efficiency and accuracy of all financial tasks.
You will also be responsible for producing regular reports for funders and partners, as well as ensuring that internal quarterly and liquidity reports are timely and accurate, supported by a part-time accountant.
The role requires someone who is equally comfortable advising the Senior Management Team on financial planning and organisational risk, as well as handling day-to-day tasks. You will need to build strong relationships with both senior management and staff, and act as a supportive and steady presence within the organisation.
You will be supported by a part-time accountant who works with our bookkeeping service provider, manages procurement procedures, and supports reporting and auditing. As there is no junior administrative support, a pragmatic, detail-oriented, and hands-on approach is essential.
This role requires a strong and proven track record working in finance within a small organisation, a good understanding of German regulatory, labour, and non-profit frameworks (or the enthusiasm to learn), and the flexibility to operate at different organisational levels.
As an international non-profit, the working language of the organisation is English. However, communication with the payroll company and tax consultants requires working in German.
The Finance & HR Admin Manager reports to the Deputy Director, who is part of the Senior Management Team.
Key Responsibilities
- Lead the organisation’s financial management, ensuring transparency, compliance, and sustainability.
- Oversee budgeting processes in collaboration with the Deputy Director.
- Monitor organisational and project budgets, providing regular financial analysis and forecasting.
- Prepare financial reports for management, board members, and funders.
- Together with our accountant, coordinate annual financial statements and serve as the main contact for external auditors and tax advisors.
- Supervise and guide our accountant, ensuring continuous professional development while maintaining bookkeeping, procurement procedures, and internal financial controls.
- Ensure compliance with German and Dutch non-profit law, German labour law, financial regulations, and donor requirements.
- Independently manage administration, including payroll with an external provider, personnel files, and legal deadlines.
- Contribute to organisational development, staff engagement initiatives, and team wellbeing, including engagement surveys, events, and internal skill-sharing.
As there is no junior administrative support, this role combines management responsibilities with hands-on administrative work.
Profile
Must-have
- Strong professional background in finance with a minimum of five years of management-level experience, backed by a university degree in Finance or equivalent. Master’s level preferred.
- Fluency in English and sufficient working experience in Germany to understand the legal structure. English is our operating language, but communication with tax authorities, auditors, and service providers is in German.
- Solid working knowledge of German financial, tax, and labour regulations.
- Experience managing and overseeing accounting processes, budgeting, and working with external auditors.
- Willingness and ability to independently manage administrative functions, with a hands-on mindset and comfort shifting between financial leadership and operational tasks.
- Strong organisational skills, reliability, and attention to detail.
- Clear communication skills and the ability to advise senior management.

- This role is based in Berlin, Germany. You must have an existing work permit and live in Berlin. Due to the nature of the role, it is office-based with a minimum of three days per week at our home in Publix, Neukölln.
Strongly desirable
- Experience in a non-profit organisation, ideally within the German regulatory framework (gGmbH or similar).
- Experience supervising staff, such as accountants or administrative roles.
- Familiarity with grant-funded project budgeting and reporting.
