[Job opportunity] Grants and Fundraising Coordinator

We are looking for an engaged Grants and Fundraising Coordinator with strong organisational and interpersonal skills, committed to a non-profit cause to coordinate grant management, ensuring adherence to contracted work plans and log-frames across grants. In this role, the coordinator will play a central role in collaborating with internal project teams as well as external partnership consortia for project proposal submissions and reporting.
The Grants and Fundraising Coordinator will work closely with the Development Director to support our donor relations and have an oversight of upcoming fundraising calls and awarded grants and will collaborate with the Communications and Fundraising Manager, who has oversight of monitoring, evaluation and impact analysis, for grant reporting.
Grant Management and compliance
- Coordinate processes for grant reporting and submitting high-quality donor reports. Maintain calendar of upcoming reports.
- Grant management in compliance with contracts and funders requirements - track project action progress, coordinate grant kick-off meetings and quarterly review meetings.
- Keep Development Director informed of any projected inabilities to meet contractual obligations. Be active in proposing remedial solutions.
- Support the Communications and Fundraising Manager in the implementation of monitoring, evaluation and impact analysis as well as partner communication.

Development and fundraising
- Research potential funders and major donors, keep abreast of upcoming calls and inform the Development Director.
- Coordinate proposal writing process. Supported by the Development Director, collaborate with project staff and partnership consortia to develop, execute and submit high-quality grant proposals successfully and on time.
- Participate in negotiations and agreements with grantees and other partners – coordinate preparation of action plans, budgets and contract review.
- Provide oversight and support to project staff on small-scale grant applications and fees for services.
- Ensure effective tracking, administration and documentation of the above.
Competencies required for this role
- Around 5 years of progressively responsible work experience at an NGO of similar scale and size, most recent 2 years successfully writing proposals for governments, the EU and international or German foundations.
- Graduate, ideally with an advanced degree in Business Administration, Social Sciences, or other related areas.
- Experience in grant management and proven successful grant report writing.
- Native level English language skills with excellent creative writing skills & editing skills for a variety of audiences, including formal communication.
- Excellent organising skills, great attention to detail and comfortable with iterative processes in a fast and dynamic environment.
- As a self-starter, you work independently and across teams with limited supervision and pro-actively seek information and propose solutions.
- Experience working with partners and stakeholders from diverse and international backgrounds is an asset. You understand and are sensitive to political situations and different views of the world.

- Tactical Tech’s team is Berlin-based, and having or acquiring a German residency is a requirement to be employed for this position. A preference will be given to candidates located in or willing to reallocate to Berlin.
- A full-time position for a limited term, 12-month contract, preferably starting 1st October. We plan to extend this position, depending on available funds, organisational needs and performance.

Road map for the role:
In the first month, you will have an understanding of Tactical Tech’s projects and related grants and have started building relationships with the team. You will start understanding the different components of your role.
After three months, you will have a good understanding of your role, having already taken the responsibility of fundraising research, and you will know the details of current grants and understand the grant management process, including partnerships. You will have contributed towards grant reporting and understand the expectation of the role as you grow further. You will have established good working relationships with key project staff.
After six months, you will have established a smooth workflow, in your role of fundraising and grants management and have absolute clarity on your responsibilities. You will have started to co-coordinate grant reports and possibly fundraising proposals with the teams. You identified areas for improvement to which you contribute and bring your own experience and knowledge to the department.
After 1 year, you will be fully at ease in your role as Grant and Fundraising Coordinator and will have started to look at your impact beyond immediate tasks, e.g. in terms of knowledge capture or process optimization, contribution to the overall strategy and direction. You established yourself as the go-to person internal for all matters related to processes of grant management, including reporting and possibly fundraising too.
